Work Smarter, Not Harder: How I Manage My Business Schedule



When I worked at a dental office, I learned a scheduling hack that completely changed how I approach my business today. Back then, we didn’t try to spread appointments out over the entire week. Instead, we focused on filling specific days—like all of Wednesday or Thursday—with patient procedures. This strategy made us incredibly productive and allowed us to dedicate the other days to catching up on admin work, stocking supplies, and cleaning up the office.

It wasn’t just about the work; it was about creating a flow that worked for everyone, from the team to the patients. Those productive appointment days felt seamless because everything was prepared and organized ahead of time. It’s something that stuck with me, and I’ve adapted it to how I run my own business now.

Here’s what I do:

Batching My Workdays

Instead of spreading client appointments across every day of the week, I focus on filling two or three days. These are my "client days," where I’m fully in work mode, dedicating my energy to providing the best treatments and experiences. I make sure these days are tightly scheduled, which keeps me in the zone and ensures my clients are taken care of without any distractions.

The Magic of Admin Days

The other days are what I call "admin days." These are the days I follow up with clients, check in to see if they have any special requests for their next appointment, clean and stock my treatment room, and handle all the behind-the-scenes tasks that keep my business running smoothly. It’s also when I get to work on planning content for social media or brainstorming new ideas to grow my business.

Why This Works for Me

There’s no scrambling to clean or restock in between appointments, and I’m not running myself ragged trying to fit everything into every single day. This way, I’m more productive, less stressed, and able to show up for my clients as the best version of myself.

How You Can Adapt This

If you feel like you’re always juggling too much at once, try batching your schedule. Dedicate specific days to client work and other days to admin tasks. It might feel weird at first to not book clients every day, but trust me, the focus and organization you’ll gain are worth it. You’ll be amazed at how much smoother your days will feel and how much more you’ll get done.
